Planning Committee Survey


Greetings!  The Regional Conference Hosts have begun planning for the 2016 Region V Regional Conference located in Iowa City, IA.  There is a lot of work that needs to be done, therefore we are looking to bring other professionals and graduate students aboard to serve on our Conference Planning Committee. 


We hope you consider being a part of what is sure to be a fantastic conference!  Below you will find descriptions for all of the available committees.  Please review and select which committees interest you, and check the appropriate box(s).  Note, that you do have the option volunteer to be a committee chair as well.  We need both chairs and committee members!


Deadline: Monday, May 18, 2015

Committee Descriptions:


       Educational Programs & Assessment (1-2 Committee Chairs)

  • Review “Call for Programs” application with Association Office and members of the committee before going “live” on NODA portal
  • Edit “Call for Programs” messaging (multiple messages) to go out to Region V
  • Coordinate and solicit educational session reviewers and review process
  • Edit and finalize program proposal evaluation
  • Notify proposal presenters of acceptance or denial
  • Coordinate session placement within the conference schedule (will collaborate with the Regional Conference Hosts)
  • Solicit additional presenters and topics (as needed)
  • Work closely with Regional Conference Hosts to coordinator rooms and technology
  • Edit and finalize educational session evaluations (work with Regional Conference Hosts for printing)
  • Determine and facilitate the educational session evaluation distribution process and tabulate evaluations throughout the conference for Regional Showcase Award Winner
  • Determine Regional Showcase Award Winner & create certificate on-site
  • Edit conference evaluation (work with Regional Conference Hosts & Association Office for distribution post-conference) 

Local Arrangements & Hospitality (1-2 Committee Chairs)

  • Coordinate information for all local attractions, restaurants, parking/shuttles/public transportation, etc. and report to Conference Hosts, for information dissemination
  • Coordinate all side trips including the marketing and facilitation of each event
  • Coordinate negotiations for transportation/lodging/payment for all conference entertainment and submit information to Conference Hosts, for development of contract and other financial details
  • Coordinate the logistics of any off-site events/receptions/meals in collaboration with Regional Conference Hosts for establishment of contracts as needed

On-site Logistics & Volunteers (1-2 Committee Chairs)

  • Manage conference office and storage areas – including hospitality items
  • Assist Regional Conference Hosts and with communication to committee members, to-do lists, etc.
  • Coordinate the recruitment, training, supervision and recognition of all conference volunteers (NOTE: you are not responsible for obtaining and training of Case Study judges)
  • Collaborate with each conference committee chairs to identify volunteer needs both before and during the conference

Publications, Marketing & Social Media (1-2 Committee Chairs)

       *Must have skills in marketing as well as experience in design and multimedia software*
Work with conference hosts to create the conference registration communication (Association Office will send out)
  • Create the conference guide and conference signage (Region V banner, registration, conference office, etc.) while working with Regional Conference Hosts and Association Office on printing bids
  • Manage Region V social media outlets (Facebook, Twitter, and Instagram) before, during, and after the conference.  This includes:
  • Assist with any other conference related publications and/or communications as needed

Registration (1-2 Committee Chairs)

  • Work closely with the Regional Conference Hosts and Association Office to facilitate the online registration process
  • Communicate related registration data to the conference planning committee throughout planning process (via e-mail)
  • Coordinate the on-site registration/check-in process (including packets, name tags, name badges, t-shirts, etc.)
  • Provide training to check-in volunteers (on-site)
  • Collaborate with the Local Arrangements & Hospitality Committee to facilitate registration for all side trips (registration information can be obtained through the Association Office)
  • Collaborate with the Undergraduate Programs and Workshops to facilitate registration for all pre-conference and extended session workshops (if necessary); registration information can be obtained through the Association Office

Undergraduate Programming and Workshops (1-2 Committee Chairs)

  • Coordinate the logistics and evaluation of all workshops and social programming for undergraduate students including, but not limited to:
  • Facilitate the undergraduate case study competition (includes gathering and training case study judges)

Graduate Programming and Workshops (1-2 Committee Chairs)

  • Design and implement a Graduate Symposium/Workshop for the graduate student attendees
  • Coordinate the logistics and evaluation of all workshops and social programming for graduate students including, but not limited to: Graduate student meet/greet, Graduate student resume review, Graduate student writing symposium

 Awards (1-2 Committee Chairs)

  • Solicit award submissions
  • Review award submissions for each award category
  • Manage creation and distribution of award certificates/plaques
